Teresa Carles Healthy Foods is looking for an Office Manager & Executive Assistant to join our team in Barcelona. Are you ready for this new and exciting opportunity?
Our project is growing so fast that our teams must do the same. As Office Manager & Executive Assistant you will be working closely with the CEO, the management team and the HR department; as well as you will be managing two different offices. You will report to the CEO and the HR Director.

Tasks and Responsibilities
As Executive Assistant to the CEO, your main responsibilities will be:
- Provide direct support to the CEO on administrative tasks and scheduling his agenda.
- Screen phone calls and office visits, making appointments when necessary.
- Register the CEO for events, conferences, and other meetings.
- Make travel and restaurant arrangements.
- Prepare and coordinate corporate meetings: schedule events, prepare corporate presentations and draft meeting minutes.
- Perform routine tasks such as photocopying, duplicating, bulk mailing, among others.
As Office Manager, your main responsibilities will be:
- Manage our two offices: Barcelona and Bell-lloc d’Urgell.
- Maintain office efficiency, appearance and condition of common areas. Arrange necessary repairs when needed.
- Monitor and maintain inventory of necessary office supplies; order new supplies as needed making sure a minimum stock is kept.
- Organize company events or conferences.
- Manage incoming mail and deliveries; and manage outgoing mail.
Requirements
- Bachelor’s Degree
- +2 years of experience as Office Manager/Executive Assistant
- Excellent at Microsoft Office tools (Excel and PowerPoint)
- Excellent communication skills in both Spanish and English
- Willingness to travel regularly to the different company locations
