Description

We are seeking an accounting administrator to join our team to handle the fundamental elements of the firm’s financial bookkeeping, management, and record-keeping. Additionally, the accounting administrator is also responsible for minimum human resources (HR) coordination and administration that includes supporting employee benefits, process, changes, and legal compliance. This position reports directly to the Managing Partner and works closely with the other partners and associate partners. They will interact with staff, clients, consultants, vendors, and government agencies.

Responsibilities: Prepare 1099’s and other year-end financial prep for CPA | Manage accounts payable and receivable and monthly client invoicing | Reconcile bank statements and accounts | Maintain vendor agreements and accounts | Prepare basic financial statements (P&L, balance sheet) | Manage payroll through third-party payroll service (Gusto) and oversee federal and state tax deposits and W-2 processes | Maintain financial records | Interact with the Oregon Work Share program and related reporting | Advocate for timely reporting of time entry by staff

Additional Responsibilities: Based on the individual’s skill levels, the accounting administrator may include other responsibilities. These duties include:

HR coordination and administration (in addition to that noted above): Support employee processes, e.g., performance reviews, promotions, compensation, learning and development, employee exits, and compliance. | Ensure all employee changes are accurately reflected in relative databases, including both electronic and physical records. | Assist in ensuring compliance with all legal and Firm guidelines.

Assist with business insurance applications and renewals. | Assist with Firm license and certifications in tracking and sharing needed financial information. | Miscellaneous administrative business duties supporting the partners.

Qualifications / Qualities:

A degree in accounting, bookkeeping management, or equivalent experience in a professional service company.

Working knowledge and experience using DELTEK AJERA accounting software are strongly preferred.

Knowledge of double-entry bookkeeping.

Strong numerical abilities, good accounting skills, be concerned with accuracy and be detail-oriented.

Interact professionally and collaboratively within a group setting.

Must be able to work independently.

Experience with design professionals is a plus.

Salary and benefits are negotiable based on level of experience and the agreed-upon responsibilities. Work hours are flexible and may be tailored to the applicant’s personal needs. The position is 32-40 hours a week, depending on expanded duties agreed upon. We provide a professional office setting that allows all employees the opportunity to experience growth and satisfaction.
