Reasons for Being

The primary purpose of this position is to support Accounting Manager with accounting functions such as accounts receivable and accounts payable, and selected chargeback management, also to develop skills and abilities to assist within monthly reporting due to Headquarters.

 

Principal Tasks

Accounting – General Duties

  • Support completing transactions relates to accounts receivable (AR) and payable (AP) to ensure that entries are up to date
  • Assist in accounting processes to ensure timely billing, collections, and cash neutral payments; generates A/R and A/P Aging balance reports on weekly basis.
  • Assist in various other accounting related projects as assigned.

Accounts Receivable:

  • Compute and record accurate chargebacks, returns, damaged goods, freight charges, etc relates to transactions on daily basis.
  • Prepare invoices, credit memos, payments, account statements, reports, and review on daily/weekly basis.
  • Investigate chargebacks from customers and follow up with Sales Managers/ Warehouse for verification of claims.
  • Follow up with emails and phone calls for cash payment schedules.
  • Review open balances and unapplied difference on weekly basis, request backups by emailing/sending inquiries.

 

 

Chargeback Review & Disputes:

  • Use the Chargeback Log to keep track, review on weekly basis and submit the new ones by getting signed PODs/BOLs from Warehouse/Logistic Manager.
  • Make sure every deduction (especially the material ones) needs to have related deduction backups and reviewed by Account Managers and under correct GL number/item category.
  • Update with new Shortage Claims and status on claims won in log and accounting system

 

 

Accounts Payable:

  • Ensure timely payments of vendor invoices via credit card, wire transfers, ACH’s and checks
  • Coordination of all payment functions for the company
  • Process payments and documents such as invoices, journal vouchers, employee reimbursements and company related expenses.
  • Support and enter disbursements, i.e. vendor payment requests, wires and T&E’s to ensure proper coding, authorization and budgetary approval and adherence to Company policy.
  • Verify expenses are authorized and review in accordance with company policies and procedures
  • Reconcile inventory report between Warehouse and internal ERP system
  • Ensure compliance with income tax classification, use tax and tax reporting, including Form 1099 reporting.

Other:

  • Participate in operational projects and be proactive in improving processes, tools and implementation.

 

Positioning

Position Requirements:

  • BS/BA degree in a related discipline (Accounting, Finance, Economics, Business Administration)
  • 1-3 year accounting experience
  • Experience in consumer goods preferred
  • -English fluent, French is a plus
  • Computer skills: proficient in Microsoft Office (Excel, Outlook, Word) and basic Accounting software (Quickbooks desktop)
  • Knowledge of ERP software (Netsuite) preferred
  • Excellent analytical and problem-solving skills
  • Accuracy and attention to details and deadlines
