About the Role

Responsible for tasks related to the freight shipments of the logistics department, which include the input and processing of shipments, tracking daily shipments, preparing shipping documents, creating invoices, and collaborating with other departments to maintain standard processes.

Key Responsibilities

  • Work closely with Transportation Manager
  • Obtain quotes from carriers for individual shipments with awareness of changes resulting from seasonality
  • Input orders and attach paperwork into systems and download from appropriate portals
  • Process and prepare freight shipments timely and accurately from receipt to delivery
  • Trace and track daily shipments to ensure proper pick-up and delivery expectations are met
  • Prepare accurate freight BOL's, packing slips, commercial invoices and other required shipping documents
  • Work collaboratively with operations, warehouse, and production to produce and maintain state-of-the-art logistics and distribution processes
  • Proactively problem solve and communicate with appropriate departments when product or service issues arise
  • Work with outside logistics service providers when needed
  • Create invoices and send them to the customers
  • Type in and retrieve data provided directly from Customers and EDI portals
  • Verify data by comparing it to source documents
  • Organize and track paperwork after entering data
  • Route and distribute verbal, written, phone and emailed communications in a timely manner
  • Maintain trusting relationships with customers and colleagues
  • Assist logistics team members with special projects
  • Ensure department documentation is properly filed following document retention policy and accessible for audits
  • Able to accurately document and record customer/client information
  • Maintain files of contracts with Logistics service providers and advise on renewals
  • Perform basic office duties, such as filing, data entry, mailings, and other similar jobs when needed


Who You Are

  • High school diploma or equivalent
  • Previous experience in logistics preferred
  • Coachable, proactive, strong customer service orientation and excellent work ethic
  • Self-motivated, enthusiastic team player who excels in a fast-paced environment
  • Quality-focus in terms of accuracy and thoroughness
  • Type 30 wpm
  • Familiar with Microsoft Office, specifically Outlook and Excel
  • Willingness to share and try new ideas to improve processes
  • Ability to quickly process information and make decisions
  • Excellent written and oral communication skills
  • Ability to manage priorities and workflow
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
  • Acute attention to detail
  • Proven ability to handle multiple projects and meet deadlines
  • Strong interpersonal skills
  • Ability to understand and follow written and verbal instructions
  • Must be able to speak, read, write, and understand the primary language(s) used in the workplace
