The Operations Manager oversees critical functions related to the firm’s day-to-day operations. This role is a great fit for someone with a love for efficiency, strategic planning, and process improvement. Working across teams and geographies, this role serves as the primary point of contact for vendors, serves as a project manager for the firm’s four office managers, and oversees special projects, such as staff retreats or office expansions. Ideal candidates for this position will bring skills in project management, office operations, troubleshooting, and providing a high level of customer service. They will also have an interest in furthering Arabella’s mission to help our clients increase their social and environmental impact through innovative and strategic philanthropy.
Essential Responsibilities
Office and Facilities Management Oversight
Work with Office Managers to develop, adapt, and implement best practices for an efficient and uniformly excellent office experience for colleagues and guests across the firm
Serve as a partner and project manager for Office Managers in office and budget management
Assist Director in creation and oversight of office management and infrastructure budgets
Oversee ongoing evolution and implementation of comprehensive office safety planning, including physical security of office locations and staff trainings
Liaise with leadership in each office, in partnership with Office Managers, to communicate high level strategy and/or support updates and solicit input and feedback
Serve as project manager for infrastructure projects such as office relocations and/or expansions
Develop and update FAQs, process guides, and other collateral as necessary to keep staff informed of policies and procedures relevant to day-to-day office operations; serve as process development partner for other teams as necessary
Vendor Management
Assist in management of portfolio of vendors and firm wide operations expenditures
Evaluate vendor relationships to identify cost savings, efficiencies, opportunities for service improvements, and achieve greater values alignment with Arabella’s status as a B Corp
Support RFP processes as needed for evaluation and selection of vendors
Contract Development and Execution
Assist Director with drafting and recordkeeping of client, subcontractor, and vendor agreements
Project Management/Special Initiatives
Manage lower-to mid-level team objectives and projects as assigned
Support Director as needed in the Operations team’s work on firm wide initiatives
To be successful in this role you’ll need:
Bachelor’s degree
Minimum 4 years of work experience in operations, administration, and/or project management
Experience working with vendors
Exceptional customer service and interpersonal skills, tact, and diplomacy
Outstanding organizational skills and attention to detail
Expert proficiency in Outlook, Word, Excel, and PowerPoint
Valued and Non-Essential Education, Experience, Knowledge, Skills and Ability
Experience as an office manager
Familiarity with contract development
