Assist in all aspects of support and communications as well as in many professional areas by providing strong administrative, organizational, and interpersonal support.
Primary Roles & Responsibilities:
Schedule/Calendar: Working with Executive Assistant to schedule all personal appointments and business meetings requested. Maintain home and office calendar reflecting all appointments, meetings and uses of the house.
Administrative: Gather/prepare all needed materials for meetings; create briefings in advance of meetings to set the tone for conversations; arrange all meeting logistics: food, presentation support, possible notes.
Communication: Relay important messages/themes to key partners; draft and send emails, Liaison with Executive Assistant to keep aware of company activities; liaison with key department heads, special assistants/consultants including gathering information, communication, etc.
Home Office: Create, implement and maintain organization in home office; understand content of work within filing system and keep up to date; simplify and maintain incoming/outgoing mail system; handle personal and some business correspondence; organize and update information for all key contacts across interest areas.
Personal: Serve as a partner to Executive Assistant and House Manager; act as link to key personal contacts; intermediary for calls/contacts; run regular errands; purchase and send gifts/flowers/notes; order EF clothing; and various other personal tasks
Conceptual: Help document areas of focus for week/month and communicate to team, set work priorities; relay purpose and participants of each meeting and necessary preparation; help prepare for public appearances.
Financial Matters: Liaison with Personal Accountant and House Manager personal/family expenses and handle various financial duties.
Home Management: Assist with presentation and ambiance of home for guests, meetings, and day-to-day activities.
Special Projects: Develop agendas, take notes and track next steps for special projects. Work closely with team to move projects forward while keeping updated on work.
