Description

As our Administrative Assistant, you will play a central role in a fast-paced executive search firm environment supporting the President to achieve weekly, monthly, and quarterly goals.


RESPONSIBILITIES:

  • Triage in-bound communication, respond to inquiries, and schedule meetings in a timely manner for the President
  • Create preparation materials for client meetings and business-related events for the President
  • Support business development research; Salesforce.com data entry, tracking, & reporting
  • Co-create project proposals and contracts for client engagements
  • Maintain tradeshow calendar, proactively book travel and reserve accommodations
  • Coordinate team travel to client meetings, trade shows, and events as needed
  • Assist team with coordination of candidate travel, interview itineraries, and expense reimbursement
  • Order supplies and manage vendors including building maintenance, phones, & IT
  • Manage and complete annual holiday cards/gift giving program
  • Maintain familiarity with our service delivery process and support team as needed
  • Handle in-office reception, greeting and directing guests
  • Organize team events, lunches, snack and coffee runs

REQUIREMENTS:

  • Bachelor's degree plus 3 (or more) years of experience as an Administrative Assistant
  • Strong writing, grammar, and editing skills with attention to detail
  • Refined communication skills with sensitivity to client and candidate dynamics
  • Proficiency with MS Office products (Word, Excel, Power Point and Outlook)
  • Adaptability, initiative, and problem-solving ability
