For anyone looking to get in at an early stage with a quickly growing sustainable business, our company currently has an opening for an Operations Department Assistant, whose primary responsibilities include all service department logistics, managing the workflow of installation techs, emergency call dispatch, new account equipment needs, service equipment parts ordering and logistics, customer communication and service advocacy.

Responsibility Areas Detail


Manage workflow and dispatch of Service and installation technicians and Equipment needs



  • Handle and respond directly to all incoming customer service requests, both internal requests from sales department and direct customer requests

  • Oversee equipment ordering, logistics and customer service and parts invoicing

  • Support daily service schedule and ongoing calendar

  • Collaborate with other departments: production team, vendors and sales to prepare daily service schedules

  • Oversee service and equipment logistics across the US


New account needs analysis, sales support, installation management, and post-sales support



  • Assess new accounts for product and equipment needs

  • Support the scheduling installations

  • Field and schedule service and maintenance requests

  • Track equipment logistics and manage service calendar

  • Assist booking travel and logistics for technicians



  • Order goods for installation assemblies

  • Receive and count stock items and record data into inventory software.


Knowledge, Skills, Abilities



  • At least 1 year Customer Service experience preferred

  • Strong attention to detail  (big problems happen here if little things are not properly managed)

  • “Make it happen” attitude

  • Bilingual English/Spanish (be comfortable enough to conduct logistics and customer service in both languages) preferred 

  • Passion for sustainability

  • Excellence in learning new software

  • Small business experience preferred

  • Willingness to be hands on with the dirty work from time to time

  • Legal right to work in the U.S.


Compensation



  • 40-45k/yr, salary review in 6 months

  • Potential Performance Bonuses
