A Bit About The Role


As the Operations Assistant you will work closely with the Operations, Logistics and Accounting teams to provide administrative support. You will be assisting the Operations Manager on client projects, working in both development and production tasks. You will also be maintaining accurate alternative record keeping for both the Accounting and Compliance departments.


This role requires a high level of personal organization, providing data entry and daily communication with internal teams, suppliers and freight agents to assist in project management, in ensuring orders remain on schedule and within budget. Additionally, you will be interacting with clients and suppliers via frequent phone calls and emails. You will gain exposure to international business relations, manufacturing/supply chains, product development and the quality assurance industry.


The position of Operations Assistant is open to entry-level or more experienced candidates that want to get involved in a company with a conscience and have a positive impact on others.


Major Duties:


Operations/Project Support



  • Assist in preparation of RFQ’s and sourcing with Project and Account managers

  • Assist in preparing calculated landed costs based on supplier quotes for projects in development

  • Communicate with overseas factories to obtain quotations and samples in a timely manner.

  • Assist in preparation, planning and submission of correct specification details and designs for projects as required by OM

  • Assist in the management of manufacturer production schedules to meet client delivery schedule.

  • Proactively identify and communicate emerging issues with Operations Manager

  • Assist in the review and analysis of QC reports

  • Confirm approval & production samples are accurate and meet client’s requirements


Logistics and Accounting Support


Invoicing



  • Generate vista invoices to close out orders once products have been delivered.


Filing & Database Maintenance



  • Conduct a monthly order folder audit to ensure all necessary documents are saved to the server order folder.

  • Provide clerical support to the operations and accounting department.

  • Update and maintain Weight & Miles report in WorkFront.


Order Entry & Invoicing



  • Create new and revise existing Sales Orders & Purchase Orders.

  • Weekly filing to assist Accountant
