We are looking for an organized, detail-oriented and highly motivated self-starter with exceptional communication and prioritization skills and proven integrity. We need someone to support multiple nonprofit organizations managed by Arabella Advisors. In this position, you will support the team’s legal and compliance departments to manage processes and systems for facilitating federal and state registration and reporting, measure the success of internal compliance processes, and bolster these processes so they better fulfill compliance goals. If you have at least four years of professional work experience, an interest in nonprofit operations, and want the opportunity to work with a fast-growing and entrepreneurial team reshaping the charitable sector, then this job is for you.

Essential Responsibilities

Efficiently build a culture of compliance (50%)

Manage compliance case system by answering questions using North Star (our internal process manual) and other tools; delegate tasks to the appropriate team members
Analyze case system to improve process and documentation practices and coordinate improvements
Design and implement process monitoring. Periodically review and update policy and procedures, and train team.
Analyze results, report findings to NVF Compliance Officer, and prepare findings to be reported to the MO team and MNPO boards
Recommend processes, policies, and procedures changes based on system monitoring, analysis and funder audits; create tools and templates for enhanced compliance; and integrate compliance management into technology systems
Manage compliance knowledge, including regularly documenting and updating policies and procedures in North Star and training team on that updated content
Manage other special compliance projects as requested

Support the Compliance Working Group (30%)

Serve as Compliance Working Group project manager
Maintain a working knowledge of the Assistant’s tasks and offer advice and mentorship as appropriate. Supervise Compliance Assistant’s relationship with external state registration vendor; improve efficiency in state registration workflow. When necessary, review registrations prior to submission, elevating to counsel when appropriate.
Standardize board support across all MNPOs in conjunction with Operations Assistant. Ensure systems are responsive to board directives. Broadcast directives to wider MO team. Maintain working knowledge of founding and key corporate documents.
Analyze data collected by the 990 and audit survey for completeness and accuracy; provide backup support to Compliance Assistant in this survey. Improve processes for Schedule G preparation.
Support compliance working group manager to achieve compliance annual objectives

State-level lobbying and advocacy reporting (20%)

Under direction of the Advocacy Director, track lobbyists for the MNPOs, including registrations, reporting requirements and due dates; coordinate with lobbyists to ensure accuracy of reporting
Centralize ballot measure tracking
Provide other ad-hoc support to advocacy workstream

To be successful in this role you’ll need:

Bachelor’s Degree
Minimum four years of work experience
Working knowledge of the operations of non-profit organizations and some exposure to the laws and regulations that govern them. Demonstrated interest in philanthropy, nonprofits, and foundation operations/management.
Excellent written and oral communication skills and a strong customer-service orientation
Meticulous attention to detail
Ability to proactively problem-solve to identify both problems and potential solutions in a fast-paced environment
Excellent project management skills and demonstrated ability to manage multiple demands, projects and deadlines
High level of computer proficiency, including Microsoft Office (Word, Excel, PowerPoint), database programs and web-based communications tools
Sense of humor, excellent judgement, and a strong sense of personal accountability

About Arabella’s Managed Organizations Team

Arabella Advisors provides operations and management support to multiple nonprofit organizations, including the New Venture Fund, the Windward Fund, and the Hopewell Fund—all 501(c)(3) public charities—and the Sixteen Thirty Fund, a 501(c)(4). These managed organizations house new and innovative public interest projects and nonprofits, as well as coordinate collaborative initiatives between donors and administer grants programs. This type of structure is commonly referred to as fiscal sponsorship, and candidates are highly encouraged to research fiscal sponsorship prior to a first interview. The managed organizations provide support to a diverse range of projects, including many focused on conservation, global health and civic engagement.
