Position Name: Project Specialist
Department: Project Operations
Report to: Director, Project Operations & Resourcing

Brief Summary of the Position:
The successful candidate will work alongside project teams (client, creative, strategy, engagement) to support client projects from inception to final delivery. The Project Specialist will be responsible for navigating and supporting the project team through the seamless execution of projects and programs to ensure that they are delivered on time, on budget, within scope, and accurately updated in Public’s internal project management platforms.

With 3-5 years of direct experience supporting integrated projects and campaigns within an agency structure, the Project Specialist will provide core project coordination support across client projects within Public’s fast-paced environment. The Project Specialist is a detail-oriented and organized self-starter with creative problem-solving skills and experience multi-tasking across mid-to-large sized campaigns, including managing scope, budget, resources, clients, and coordinating integrated teams producing work in creative video, production, digital, print, and beyond.

In addition to these core responsibilities across high-impact client projects, the Project Specialist will also play a large role in managing a portfolio of internal Public campaigns and projects identified by the Public leadership team. Being able to prioritize and manage conflicting schedules and resourcing constraints across both internal and external projects will be critical. The Project Specialist will work closely in supporting Public’s Project Lead, and Director, Project Operations & Resourcing to foster a dedicated and harmonized approach to improving the ways in which Public’s projects are managed internally.

Key Responsibilities

  • Develop and manage project documentation such as scope, project plans, budget, timelines, and detailed work-back schedules with responsibility for managing and meeting budgets and deadlines
  • Collaborate with internal teams as well as external partners to manage projects and programs throughout all stages.
  • Establish and maintain client reporting systems including ongoing contact, monthly reports and end-of-project reviews
  • Assess results and develop evaluation reports for the Public Leadership Team
  • Develop and maintain time sensitive, up-to-date project schedules, including updating Public’s internal scheduling platform
  • Support and resource for creative development, brief details and reference materials
  • Timely communication of all projects - weekly meetings, status reports and updates
  • Manage a volume of internal Public projects and campaigns, and help to prioritize and schedule resources accordingly.
  • Be a champion of good creative work throughout the project coordination process
  • Other project coordination duties as needed

Job Requirements

  • 3-5 years in project coordination/management (agency & creative experience a must)
  • CPG experience (a bonus)
  • Budget management (revenue management, forecasting, program estimates, etc.)
  • Experience working across multiple, complex accounts
  • Team management -- proven ability to empower and mobilize teams to meet/exceed client expectations and to deliver against the program objectives
  • Experience in quality control, or content editing a bonus
