Our winemaking and winery operations team is looking for an eager person who wants to dive right in and learn how things tick within a large winery. As Winemaking Operations Specialist, you will perform diverse duties, which range from entering critical data in our systems to serving as the primary contact or “go to” person for the winery (and cellar) teams. Your varied responsibilities will help to ensure things run smoothly from an administrative point of view. By organizing, facilitating, expediting and processing winery administrative-related matters, you will contribute to a cohesive and smooth-running environment for the department. This position reports to the Director of Winemaking and Winery Operations and works closely with winemakers, winemaking lab, database, cellar operations and related planning and logistics personnel.

Essential Responsibilities:

Winemaker Database, Compliance and Finance– 60%

Process work orders from Winemaking and bottling and enter them into the winemaker database system. Enter all lab analyses and maintain current information in the database. During harvest, provide winery database management and team support.· Support the Winemakers’ Database Analyst with accurate and timely data entry to the winemaker database. This may require additional duties and responsibilities during harvest.Responsible for approving the pre-bottling reports and labels on a weekly basis to be compliant with TTB. Support Quality Lab, Planning and Production teams on label approval on daily basis.Perform duties in the preparation of month end reporting and balancing WMDB.Process all purchase order requests in SAP for the Winery, Lab and Operations team.Ensure correct IO’s before processing PO requestMaintain monthly spend, unpaid invoices and budget tracking.Other duties as assigned

Office Management – 20%

Manage winemaking office supplies/office equipment and be responsible for the budget.Process all departmental and outside wine requests and arrange for shipment or delivery (worldwide). Winemaking, sales and marketing support.Handle all incoming communications for the winemaking department. Receive and distribute incoming and outgoing mail for department staff.Post employee bulletin board and current events information as necessaryAssist in all departmental functions such as birthdays, anniversaries, etc.Manage meeting rooms and internal tastings.Manage all visitor meetings and visits according to Fetzer Vineyards Visitor Policy.

Administrative support – 20%

Organize and manage expense report processing in Concur (travel and expense system) for winemaking department staff.Support greater Fetzer Vineyards organization with Concur process.Identify proper coding for Winemakers travel & expenses.Manage reconciliation with Concur for all winemakers.Initiate travel arrangements, prepare itineraries and manage calendars for department staff.· Organize set-up for all winemaker wine tastings for Director of Winemaking. Organize tasting, confirm participation, manage sample budget and provide setup and cleanup.Facilitate/Coordinate Winemaker’s activities with cellar, tasting room and division sales and marketing and hospitality groups.Provide weekly updates on winery activities including tours, tastings and hosting guests.Direct support to the Director of Winemaking–calendars, tastings, meetings, travel, communication, organization, training.Manage bulk wine sales database, procurement and shipping requests.Receive bulk wine samples and update bulk wine database daily.Manage monthly safety trainings, updates and meetings.Schedule receiving of supplies and coordinate with receiving team.

Must Requirements:

Associates Degree and 2-5 years experience, or equivalent education/experience combination.Bachelor’s Degree preferred.Database management skills and ability to learn new database systemsStrong computer skills in Word, Excel, email and database applicationsAbility to communicate and maintain professional relationships with all levels of employees and external vendors and contacts.Excellent oral and written communication skills.Strong organizational skills, ability to prioritize and meet deadlines.Self-starter, able to take minimal direction on tasks and see them through to completion.

Preferred Requirements:

Experience in a similar role at a large-scale winemaking production facility, beneficial but not required.An affinity for data and systems.
