Position Summary
The National Client Service/Marketing Associate will provide national client service and marketing support to the firm. The Associate will provide direct support to the Senior National Client Service Associate and Managing Director of Marketing and Business Development. This role provides a high level of client service to internal and external clients including members of the firm Client Service and Wealth Management teams, Partners, Marketing Department and other service providers to ensure efficient day-to-day operations in the Company.
Core Duties and Responsibilities
National Client Service Support
- Support the National Senior Client Service efforts to increase firm service efficiencies, uniformity and increased client service
- Support private placement and community investment note administration and data entry inputs including market valuations, contributions and withdrawals for client quarterly performance reports
- Coordinate with managers to obtain 1099s and K1 tax forms for the clients during tax season
- Assist with the renewal process for matured community investment notes and update the portfolio performance system with the new terms for rates and duration
- Update Salesforce contact info for private placement and community investment note managers
- Process capital calls and update client accounts
- Help maintain the most up to date private placement/community investment account opening and renewal documents in company shared files
- Assist with maintenance and annual reconciliation of Private Placements Control Sheet and Community Investments Control Sheet
- Complete daily non-profit stock gifts
- Monitor client retirement accounts for completion of annual required minimum distributions
- Distribute client quarterly reports and newsletters and other communications as necessary
- As needed provide additional client service support to firm Client Service and Wealth Management Teams
Marketing and Business Development Support
- Manage the calendar for travel and meetings for the Managing Director of Marketing and Business Development
- Responsible for Salesforce maintenance for Marketing, Business Development and Managing Director of Marketing and Business Development contacts including leads, prospects, centers of influence (COIs), marketing vendors, and business development partners
- Help support the data entry, quality control, and creation of Marketing and Business Development Reports
- Responsible for updating basic website content including maintenance of employee biographies and when needed coordination of updates with outside vendors
- Responsible for Marketing contact database (Mailchimp) maintenance including the regular review of integration with main Salesforce contact records and distribution of communications including newsletters, blogs and holiday announcements
- Provide Marketing and Business Development event management support including logistic planning, invoice management, invitation creation and distribution
- Support the development and distribution of marketing materials including trafficking of materials between Marketing, outside vendors and firm including the Veris Global Sustainability Fund (VGSF) quarterly letter, quarterly newsletters, and special reports.
- Assist with the facilitation and management of Marketing and Business Development meetings including agenda management, minutes, and filing of records.
- Responsible for the organization and maintenance of all Marketing and Business Development company shared folders including presentation and sales materials used by employees are compliance approved and saved to company shared folders
- Provide support for RFP responses. Formatting, basic content, and management to meet deadlines.
General Firm Support
- Responsible for event Partner and other firmwide company event management (internal and external) support including logistic planning, invoice management, invitation creation and distribution
- Other support to Partners as needed, including travel arrangements and expense report management
Education/Experience/Skills
- Ability to work in a fast-paced environment and be able to manage multiple tasks and responsibilities.
- Excellent administrative skills including high attention to detail and quality control
- Experience supporting event management including logistic planning, event vendor management, and invitation management
- Excellent organizational, phone and computer skills including Word, Excel and PowerPoint.
- Experience with client relationship management (CRM) software. Salesforce and Mailchimp experience preferred
- Experience with basic website content updates
- Calendar and schedule management experience
- Commitment to the alignment of wealth and values.
- Experience working with high net worth families in a bank, brokerage or other financial institution environment preferred.
- Experience working directly with Wealth Management or Investment Advisory teams preferred
- Knowledge and experience supporting various client accounts such as individual, joint, trust and Individual Retirement Accounts (IRAs) preferred.
- Four-year college degree preferred.
- Experience with Socially Responsible Investing (SRI) and Sustainable Investing preferred.
