The Projects team is a group of fun, committed, and hardworking individuals that designs and executes technology solutions that will provide business value to our customers. Regardless of the technology deployed, the team works alongside the customer and the rest of the service delivery team to ensure:

  • That the new technology was well executed with the lowest amount of business disruption.
  • That the outcome solved their current and/or future needs.
  • That the Service Delivery teams are trained to effectively support the new technology in production.

About the Role:

As the Project Coordinator, you will have the opportunity to apply your exceptional project management, customer service and scrum skills to IT projects that you’ll manage both for our clients and internally. We are seeking a highly organized, proactive, and motivated professional for this role. Ideally, you are someone who takes great care in your work, always operating with integrity and gravitas, while also being nimble and able to make quick and smart decisions both with your team and independently when necessary. You are proactive, able to zoom out and conceive of the bigger picture while keeping a laser focus on the details. You will be a key member of the services team and responsible for managing existing client relationships, technology planning, and IT project management. In this role you will have the opportunity to learn from everyone at Varsity, from our CEO and management team, and the Services Operations staff. This position will report to the Director of IT Services, and must be based in San Francisco, CA.

You’re Excited About this Role Because:

  • You enjoy managing the intricacy of new client onboarding and project work. You are highly organized, able to adapt to changing environments and enjoy creating structure out of chaos.

In this role you will work with the engineering and services teams, you’ll manage the onboarding plan and timeline, coordinate team members and clients to meet deadlines, and ensure clear communication and expectations are met through the process of onboarding.
  • You enjoy working in a progressive organization on the cutting edge of technology. You will manage upgrade and optimization projects for new and existing clients.
  • You naturally elevate and enhance the client experience through high-level and high-touch account relationship management: schedule regular client project and account management meetings; create, maintain, update and manage each client’s technology plan; manage client communications and internal communications about the client; strong management of client expectations; and provide exceptional customer service.
  • You’re skilled at bringing people, ideas and actions together, and forward toward a common goal. You will engage engineers and account managers to design and maintain client technology plans which includes but is not limited to: cost analysis, budgeting, third party vendor engagement, platform standardization, high level technology solution analysis, development of technology plans/roadmap and presenting to the clients.
  • You are innately collaborative and enjoy working in partnership with services staff and the account management team. In this role you will create schedules for each client’s deliverables; coordinate Varsity staff and meetings as needed to meet the timeline; prepare and distribute progress reports; manage risk and issues, manage client expectations and communications on an ongoing basis.

  • You’re a sophisticated and savvy project coordinator with an eagerness to grow and manage multiple projects. You're able to work within and adapt to changing environments.
  • You’re skilled and experienced in providing project management assistance, ideally for IT Infrastructure projects, with experience that resembles the following:
  • Assembling the appropriate staff based on client requirements, timeframes and budget
  • Determining if external contractors, in addition to internal resources, are needed for the client engagement
  • Estimating the time needed for the various stages, identify order of tasks and create a project schedule
  • Ensuring project legal documents are completed, signed and uploaded to CRM apps
  • Working with the Sales Team to track the availability/delivery of hardware and software needed for projects
  • Scheduling and facilitating daily huddles with the projects team and working with a team and Director of Services to resolve any risks, issues, or changes
  • Identifying, monitoring and communicating project-related issues, scope changes, variances and contingencies throughout the lifecycle of a project
  • Preparing/securing and formal sign off on all project deliverables
  • Creating, as needed, customized reporting for the client or team
  • Maintaining master project plan and reporting on forecast, utilization, and scheduling
  • Creating project tasks, schedule, budget, and resources in a CRM
  • You are well-versed enough in proposed technical solutions to communicate effectively with internal team members, and instill client confidence in Varsity Technologies technical expertise, as well as investigate new technologies that will improve business operations.

  • Qualifications for Success in this Role:
  • One to three years of progressive project coordinator or manager experience and/or account management in a direct customer facing role or educational equivalent, and incredible tenacity to further develop your skills
  • Sufficient level of technical background to provide highly credible leadership to internal team and clients to accurately and objectively evaluate complex project risk and issues
  • Proven track record of successfully implementing hardware and technology infrastructure projects using Agile methodologies
  • Strong leadership, strategic implementation, communication, and technology planning skills
